How to manage orders

The Manage Orders page is where you can view, filter, search, organise and update all customer orders. This page gives you full control over the booking workflow, allowing you to move orders between stages, merge orders, and monitor payment statuses.

Below is a detailed explanation of every part of the interface.

  1. Order Status Tabs

At the top of the page, you will see several tabs. These represent the different stages of an order’s lifecycle.

New Orders

Orders that have just been placed and have not yet been processed.

Invoiced

Orders where an invoice has been generated and is awaiting payment or approval.

Quoted

Orders where the customer has requested a quote or where you have sent a quote but the order is not confirmed yet.

Sent to Warehouse

Orders that have been passed to the warehouse/preparation stage (e.g., being readied, cleaned, prepared for dispatch).

Completed

Orders that have been fully completed, delivered, returned, or finished.

Bin

Orders that have been cancelled, archived, or removed from active workflow.

  1. Order Sorting

You can sort orders to display them in a preferred order:

Newer to Older

Shows the most recent orders at the top.

Older to Newer

Shows the oldest orders first.

This helps you quickly find recent activity or work through orders chronologically.

  1. Date Filters (Start & End Date)

You can filter orders by a specific date range.

Start Date

Choose the earliest booking/order date you want to view.

End Date

Choose the latest booking/order date you want to view.

After selecting dates, click:

Go

Applies the date filter and updates the order list.

Clear

Removes filters and shows all orders again.

  1. Payment Filters

You can filter orders based on their payment status:

Show Paid

Displays only orders that have been fully paid.

Show Unpaid

Displays orders with no payment received.

Show Partial Paid

Shows orders where only part of the invoice has been paid.

This is helpful for:

  • tracking overdue payments
  • managing deposits
  • reviewing outstanding balances
  1. Search Orders

Use the search bar to find specific orders instantly.

You can search by:

  • Customer name
  • Order number
  • Email
  • Phone number
  • Reference
  • Product name

Click the 🔍 search icon to apply the search.

  1. Merge Orders

This feature allows you to combine multiple orders from the same customer into a single order.

Useful when:

  • A customer places separate bookings for multiple items
  • You want to generate one invoice instead of several
  • You wish to manage everything under one booking reference

Click Merge Orders to begin combining orders (only works when orders exist).

  1. Collapse

This button hides or collapses certain sections of the interface to give you more space.

Helpful when managing large order lists.

  1. Order List

The main body of the page displays all orders based on the filters and tabs you’ve selected.

If no orders match your filters or no orders exist, you will see:

“No orders found…”

Once orders appear, the list will show:

  • Order ID
  • Customer name
  • Booking date
  • Payment status
  • Order value
  • Action buttons (view, edit, move to next stage, etc.)
  1. Processing Workflow Example

To understand how the Manage Orders page fits into your workflow:

A typical order progress might look like:

  1. New Orders → customer places an order
  2. Invoiced → invoice generated
  3. Quoted → awaiting acceptance (optional)
  4. Sent to Warehouse → preparing for delivery or pick-up
  5. Completed → fully delivered or returned

You can move orders manually by opening them and selecting the next stage.
